This Privacy Policy explains how Proxar Limited uses personal data for the MCI Network Services website and business enquiries. It covers visits, messages and other contact with our team. It also explains your data-protection rights, how to use them and how to raise a concern.
Who is responsible for your information?
MCI Network Services is the specialist networking brand operated by Proxar Limited. Proxar Limited is the controller for the website and its business enquiries. We are registered in England and Wales under company number 06744401. Our registered office is Unit 1, 205 London Road, Sevenoaks, Kent TN13 1DW.
For privacy enquiries, rights requests or complaints, email admin@proxar.co.uk. You can also write to our registered office, marked for the attention of the privacy team. You do not need to use a particular form or legal terminology.
This notice concerns our own website and business administration. When we handle personal data on a customer’s instructions while providing network services, the relevant service agreement, data-processing terms and the customer’s privacy information also apply. Those arrangements do not make this website notice a substitute for a customer’s own duties.
Information you choose to give us
The enquiry form asks for your name, email address and message. An organisation name is optional. We also receive information you include in emails or other correspondence, such as your role, business telephone number and an outline of your requirements. We need enough information to understand the enquiry and respond; you do not have to provide unrelated details.
Please do not send passwords, authentication codes, payment-card details, unrestricted network configurations or other confidential customer information through the public form. If we need sensitive material to assess a project, we will agree an appropriate transfer method and access arrangements separately.
The website’s enquiry handler sends your message to our named business mailbox. It does not itself create a separate database of enquiry messages in WordPress. Email copies and subsequent correspondence are still personal data and are handled under this notice. A short-lived, protected identifier is used to limit repeated form submissions. It is not a copy of your message.
Technical information from website visits
Delivering and protecting the website involves processing technical information such as IP addresses, requested addresses, request times, browser information and security events. Our hosting infrastructure and Cloudflare, which provides network delivery and security services, may process this information to deliver pages, identify faults and prevent misuse.
Some technical records can identify or distinguish a visitor. We do not describe all logs or device identifiers as anonymous. Information about browser storage and security-related cookies is covered in our Cookie Policy.
Why we use the information
For enquiries from employees and other business contacts, we rely on our legitimate interests in answering requests, preparing proposals and maintaining business relationships. We consider those interests alongside the individual’s rights and reasonable expectations. Where you personally ask us to take steps towards a contract, or are personally a party to it, processing necessary for those steps or that contract may instead rely on the contractual lawful basis.
Website delivery, troubleshooting and proportionate abuse prevention rely on our legitimate interests in operating a reliable, secure service. We may also process information where necessary to comply with a legal obligation or establish, exercise or defend legal claims.
An enquiry is not blanket permission to use your details for unrelated advertising. Any separate direct-marketing activity must have an appropriate lawful basis and meet applicable electronic-marketing rules. Where we rely on consent, you can withdraw it without affecting the lawfulness of processing that took place beforehand.
Optional analytics and automated decisions
We use a cookie-choice mechanism and Google Tag Manager to control optional website tags. Tag Manager is a loading tool; installing it does not itself configure Google Analytics. At this installation stage, Google Analytics and advertising tags have not been enabled by this release. Operational security logs remain separate from optional audience measurement.
The banner offers Allow cookies and Reject optional cookies. Optional consent starts as denied. If you allow cookies, the site loads Tag Manager and permits the analytics category. Advertising storage, advertising user data and advertising personalisation remain denied. We rely on your consent for this optional loading and any subsequently enabled analytics; silence, scrolling, continued browsing and sending an enquiry do not count as consent.
Loading Tag Manager involves a request from your browser to Google, which necessarily makes network information such as your IP address and browser request headers available to Google. Google states that its standard Tag Manager HTTP request logs are deleted within 14 days and describes separate aggregate diagnostics in its Tag Manager privacy information. This period is specific to Tag Manager request logs, not a promise about the retention of any future analytics data.
Use Cookie settings in the footer to change your choice. Rejecting optional cookies keeps Tag Manager blocked on subsequent page loads. If it has already loaded, withdrawal sends a denied consent update and reloads the page. A final request communicating that change may occur. The site also attempts to remove accessible first-party Google analytics cookies. Withdrawal does not erase information already lawfully processed; you can contact us about applicable data-protection rights.
We store your choice, its timestamp, an expiry time and the notice version in your browser under mci_consent_v1. This preference is used only to apply your choice. It has a validity period of 180 days from your decision and is checked on later visits; expired preferences are removed when next read. This is a local browser record, not an identifying server-side consent profile. See our Cookie Policy for details.
Google is an additional technology provider for this feature, and the international-processing section below applies. Google describes its handling of information and international processing in its Privacy Policy. We will update this notice and the cookie inventory before enabling Analytics collection or introducing a new optional purpose.
We do not use the general enquiry workflow to make solely automated decisions with legal or similarly significant effects. Security controls may reject or challenge a request that appears abusive. If that prevents a genuine enquiry, contact us by email so a person can help.
Who may receive your information?
Access is limited to people who need the information for the relevant purpose. Recipients may include authorised Proxar personnel; providers of hosting, website protection and business email; professional advisers where their advice is needed; and authorities where sharing is legally required.
A service enquiry may require discussion with a technology vendor or connectivity provider. We should normally be able to discuss an initial requirement without disclosing unnecessary personal or confidential information. Where a referral or named technical escalation is needed, we will establish what needs to be shared and why.
Our specialist websites do not automatically become separate legal recipients simply because they use different brands. The identity of the actual organisation matters. We do not treat a similarly branded or associated business as the same controller without considering its legal role.
Processing outside the United Kingdom
Cloudflare and other technology suppliers may operate internationally. A UK website address or a UK mailbox does not, by itself, establish that every processing activity takes place in the UK. Where information is subject to a restricted international transfer, an applicable adequacy arrangement or appropriate transfer safeguards must be in place.
You can ask the privacy team for information about relevant processing locations, the transfer mechanism used and how to obtain details of the safeguards. We will explain any necessary redactions that protect confidential information or other people’s data.
How long we keep information
Our intended retention period for an enquiry that does not lead to a customer relationship is up to 12 months after the last substantive correspondence. Routine website and security logs are intended to be kept for up to 30 days. A record genuinely needed for an active investigation, dispute or legal obligation may be kept longer, with the reason and review point recorded.
Where an enquiry becomes a customer relationship, relevant correspondence forms part of the business and service records. Its retention is assessed against the agreement, continuing service requirements, accounting duties and the period for which it is reasonably needed to handle legal claims. We do not keep information indefinitely merely because it might be useful.
Deletion from active systems does not necessarily remove every protected backup immediately. Backup copies should remain restricted, expire through the applicable backup cycle and not be brought back into ordinary use without applying relevant deletion requirements. Contact us for details relevant to a particular request.
Your choices and rights
Depending on the circumstances, you may request access to your personal data, correction of inaccurate information, erasure, restriction of processing or a portable copy of information covered by the portability right. You may also object to processing based on legitimate interests. These rights have conditions and exceptions. We will explain the outcome rather than assume every request has the same answer.
You can object to direct marketing at any time. Where processing relies on your consent, you can withdraw that consent. To exercise a right, contact the privacy team with enough information to identify the relevant interaction. We may request proportionate proof of identity or authority where necessary, but please do not send identity documents unless we ask for them through an appropriate channel.
We will respond within the applicable statutory period and explain any lawful extension or other relevant timing provision. A rights request and a complaint about how information has been handled are related but distinct processes.
Complaints and questions
To make a data-protection complaint, email the privacy team or write to our registered office. Explain what happened and the outcome you are seeking. We will acknowledge receipt within 30 days, make appropriate enquiries without undue delay, keep you informed and explain the outcome.
You also have the right to raise a concern with the UK Information Commissioner’s Office. Its complaints guidance explains the process. Contacting us first may help resolve the issue, but nothing in this policy removes your statutory rights.
Keeping this notice current
We will update this notice when the website, our processing activities or applicable requirements change. Material changes may require additional information at the point where information is collected. Last updated on 26 October 2026 for the consent-controlled Tag Manager installation. Google Analytics collection is not enabled by this update.
