Meraki inventory and device claiming links physical equipment to the organisation that will manage it. The process looks simple when a new device is added to the correct account, but ownership disputes, replacement hardware and incorrectly assigned networks can delay a rollout. MCI Network Services helps customers establish a reliable device register and complete claiming or assignment work through authorised accounts. We treat an inventory entry as the beginning of commissioning, not proof that the equipment is ready to carry business traffic.

01

Dashboard clarity

Structure organisations, networks and permissions around real operational ownership.

02

Consistent sites

Use repeatable standards without ignoring the differences between locations.

03

Practical operations

Keep cloud management connected to physical links, users and business services.

Confirm ownership before touching inventory

The first checks concern the customer, order records and existing administrative ownership. We establish who is entitled to claim the equipment and whether it is already associated with another organisation. A serial number or photograph of a label is not, by itself, a reason to take control of somebody else’s device. Where an existing claim needs resolving, we coordinate with the authorised owner and vendor support through the appropriate process.

Second-hand or transferred equipment needs particular care. The availability of hardware does not establish that the required subscriptions, support arrangements or configuration can move with it. We separate device ownership from licensing entitlement and identify any unresolved dependency before deployment is booked. Commercial procurement remains distinct from our engineering work; we can assess technical readiness without presenting MCI as a product catalogue.

Create a register that follows the equipment

We reconcile model, serial or applicable cloud identifier, site, physical location and intended dashboard network. The register should distinguish installed equipment, staged devices, usable spares and items awaiting return. This matters when several similar-looking switches arrive together or a failed appliance has been replaced under a support process. Engineers need to know which unit is actually connected, not merely which serial appeared on the original order.

Naming and labelling are agreed before bulk assignment. A device name should help somebody find the corresponding cabinet, room or branch. Sensitive information should not be encoded unnecessarily in a public-facing label or shared screenshot. Our Meraki configuration standards can establish a consistent naming approach so the inventory and the operating configuration remain useful as the estate grows.

Separate claiming from network assignment

Claiming a device into an organisation inventory and assigning it to a dashboard network are different steps. We verify the destination at each stage, particularly where one administrator can access several customers or subsidiaries. A correct claim into the wrong organisation can still create a difficult transfer problem. A correct organisation with an incorrect network assignment can introduce the wrong configuration when the device connects.

We review the intended network’s device types, configuration model and subscriptions before assignment. Any existing settings on the equipment are considered as part of staging. The project records which items are safe to connect for preparation and which must remain isolated until a production change. This reduces the risk that a device intended as a spare is accidentally introduced into the live service without the expected controls.

Prepare the first connection

A claimed device needs a usable management path before it can complete the expected onboarding process. We check power, addressing, DNS and upstream connectivity, together with the relevant model-specific requirements. For an existing site, that may require cooperation from the firewall or carrier team. We do not respond to an onboarding failure by permanently opening unrestricted outbound access without understanding which connection is required.

Commissioning then verifies that the correct device appears in the intended network, receives the expected settings and runs an appropriate supported software version. Firmware activity can take time and may interrupt forwarding, so it is included in the deployment plan rather than discovered when staff arrive. The Meraki cloud connectivity diagnostics service addresses failures where the management path is unclear.

Handle replacements and removals carefully

A replacement is not always a simple exchange of serial numbers. Port layouts, device roles and the available configuration-copy functions can differ between models. We record the old and new identity, the settings that need rebuilding and the point at which the old equipment can be removed or returned. A live device should not be unclaimed just to tidy a spreadsheet.

Removal also has an information-handling side. Configuration, local access and any stored data need consideration before equipment leaves the organisation. The appropriate reset or disposal process depends on the product and the customer’s policies. We distinguish removal from inventory, removal from a network and physical decommissioning so that none is mistaken for completion of the others.

What you receive

The completed work provides a reconciled inventory, verified assignments and a list of items that remain blocked by ownership, entitlement or connectivity issues. Deployment acceptance remains separate from inventory accuracy: a switch can be correctly claimed while a connected application still fails. MCI can perform this preparation for a single office refresh or a multi-site programme, leaving a traceable record that supports installation, fault replacement and eventual retirement.
